PRIVACY POLICY
Decided, Inc. · Last updated: October 20, 2026 · https://decided.com/legal/privacy-policy
This Privacy Policy explains how Decided, Inc. ("Decided", "we", "us") collects, uses, and shares personal information when you visit our website, contact us, or do business with us. It also explains, in Section 9, how we handle information in the Decided platform on behalf of our customers.
1. Who we are.
Decided, Inc. is a Delaware corporation located at 447 Broadway, 2nd Floor #1512, New York, NY 10013, United States. You can reach us at contact@decided.com.
2. What this policy covers.
This policy covers personal information we collect about:
(a) visitors to decided.com and our other websites (the "Site");
(b) people who contact us, request a demo, or attend our events;
(c) contacts at our prospective and current customers, such as buyers, executives, and billing contacts; and
(d) users of the Decided platform (the "Service"), including authorized users and interview participants, for the login, device, usage, and billing information we use to operate our business.
This policy does not cover the information our customers put into the Service, such as org charts, calendar availability, and interviews with their employees. Our customers control that information, and we process it on their behalf. Section 9 explains how this works.
3. Information we collect.
3.1 Information you give us. Your name, work email address, company, job title, phone number, and the content of your messages; information you share in meetings, demos, and events; and billing contact details.
3.2 Information we collect automatically. When you use the Site or the Service, we collect device and browser information, your IP address, pages you view, the site that referred you, and similar usage information. We use cookies and similar technologies to do this (see Section 8). In the Service, we also collect login and activity logs and session recordings that show how the Service is used. Session recordings do not capture interview answers.
3.3 Information from other sources. Business contact information from public sources and from business data providers we use to find and research potential customers, such as Clay and Attio; information our customers give us about their users; and payment status from our payment processor, Stripe. We do not receive or store full payment card numbers.
4. How we use information.
We use personal information to:
(a) respond to your requests and arrange demos and meetings;
(b) operate, secure, and support the Service and manage customer accounts;
(c) invoice customers and process payments;
(d) send business communications and marketing about Decided, which you can opt out of at any time;
(e) understand how the Site and Service are used, and improve them;
(f) protect against fraud, abuse, and security threats; and
(g) comply with legal obligations and enforce our agreements.
5. Legal bases (UK and EEA).
If you are in the United Kingdom or the European Economic Area, we rely on these legal bases: performance of a contract with you; our legitimate interests in managing our relationship with your organization, running and marketing our business, keeping our services secure, and improving them; your consent, where required, such as for non-essential cookies; and compliance with legal obligations.
6. How we share information.
We share personal information only:
(a) with service providers that help us run our business, such as hosting, customer relationship management, email, analytics, payment, and support providers, under contracts that limit their use of the information;
(b) with professional advisers, such as lawyers and accountants;
(c) in connection with a merger, acquisition, or sale of assets, subject to confidentiality;
(d) when required by law, or to protect the rights, safety, and security of Decided, our users, or others; and
(e) with your consent.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
7. How long we keep information.
We keep personal information only for as long as we need it for the purposes in this policy, including to meet legal, tax, and accounting requirements. We then delete or de-identify it. In particular:
| Information | How long we keep it |
|---|---|
| Business contact information | While we have an active relationship with you or your organization |
| Marketing contacts | Until you opt out, or 24 months without contact |
| Site analytics | 13 months |
| Service logs | 12 months |
| Session recordings | 90 days |
| Billing records | As long as tax law requires |
| Records of interview participants' acceptance of the Participant Terms (Section 9.4) | 3 years after the customer stops using Decided |
8. Cookies and similar technologies.
8.1 What we use. We use cookies and similar technologies that are:
(a) strictly necessary, to make the Site and Service work and keep them secure; and
(b) analytics and session recordings, provided by PostHog, to understand how people use the Site and the Service.
We do not use advertising cookies.
8.2 Your choices. Where the law requires it, such as for visitors in the UK and EEA, we set non-essential cookies only with your consent, which you give or refuse through our cookie banner. You can also block or delete cookies in your browser settings. Blocking strictly necessary cookies may stop parts of the Site or Service from working.
8.3 Details. Our cookie banner lists the cookies we use, with their provider, purpose, and duration.
9. Information we process for our customers.
9.1 Our role. Companies use Decided to interview their employees and understand priorities, blockers, and decisions across teams. When we process information in the Service for a customer, such as org charts, calendar availability, and interviews, we act as a service provider (or "processor") for that customer. The customer decides how the information is used, and its own privacy notice applies.
9.2 If you take part in interviews. If your employer invites you to talk with Clara, Decided's AI interviewer:
(a) voice interviews are recorded and transcribed, and typed interviews are saved;
(b) you can review and edit your answers before they become final;
(c) people at your employer, others it allows, such as board members or advisors, and, through Clara, other participants may see your final answers, or points drawn from them, with your name, depending on their role, but not the recording, earlier versions, or your edits;
(d) we delete audio recordings within 90 days after the interview;
(e) we do not use your answers, or data derived from them, to train AI models;
(f) we never share your answers with another customer, except in de-identified, aggregated form that cannot identify you or your employer; and
(g) if you leave your employer, your final answers remain part of your employer's records.
9.3 Your requests. To access, correct, or delete information from your interviews, contact your employer. If you contact us, we will forward your request to your employer and help them respond. Our Participant Terms, at https://decided.com/legal/participant-terms, explain how interviews work.
9.4 Records of your acceptance. We are the controller of records showing that you accepted the Participant Terms and saw the recording notice before each interview, such as your user ID, the date and time, and the version accepted. These records do not include what you said. We keep them for 3 years after your employer stops using Decided, only to establish, exercise, or defend legal claims. If you are in the UK or EEA, our legal basis is our legitimate interest in doing so.
9.5 If you are mentioned in an interview. Participants may talk about colleagues. If you are mentioned, your employer controls that information, and its privacy notice applies. To access, correct, or object to it, contact your employer. We will help your employer respond.
9.6 Biometrics and automated decisions. We do not collect biometric identifiers or biometric information, including voiceprints. We do not make decisions about anyone based solely on automated processing that produce legal or similarly significant effects.
10. Your rights.
10.1 Your rights. Depending on where you live, you may have the right to: access the personal information we hold about you; correct it; delete it; receive a copy in a portable format; object to or restrict certain processing; withdraw consent; opt out of targeted advertising, sale, or sharing of personal information; and appeal our decision on your request. We will not discriminate against you for exercising these rights.
10.2 How to exercise them. Email contact@decided.com. We may need to verify your identity before acting on your request. You may use an authorized agent where the law allows; we may ask for proof of the agent's authority. We respond within the time the law requires. Contact us if you need this policy in an accessible format.
10.3 Complaints. If you are in the UK or EEA, you may also complain to your data protection authority. In the UK, this is the Information Commissioner's Office.
10.4 Global Privacy Control and Do Not Track. Where the law requires it, we treat a Global Privacy Control signal from your browser as a valid request to opt out of sale or sharing. Our Site does not respond to Do Not Track signals. We do not allow third parties to collect information about your activity across other websites over time through our Site.
11. International transfers.
Decided is based in the United States. Our team members who access personal information work from the United States, the United Kingdom, Italy, and the Netherlands. Our service providers may process information in other countries. When we transfer personal information from the UK or EEA to countries without an adequacy decision, we use appropriate safeguards, such as the European Commission's standard contractual clauses and the UK International Data Transfer Addendum. You can ask us for a copy of these safeguards.
12. Security.
We protect personal information with measures that include encryption in transit and at rest, access controls, and multi-factor authentication for our team. No system is perfectly secure, and we cannot guarantee the security of information sent to us.
13. Children.
The Site and Service are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.
14. Changes.
We may update this policy. We will post the new version on this page with its effective date. If a change is material, we will give notice on the Site or by email. Prior versions are available on request.
